Booking Terms & Conditions
The boring but important stuff.
These are placeholder terms. Final terms will be provided by Epic Park Escapes Ltd before the first tour departure.
1. Booking Process
To book a tour, select your preferred trip and departure date on our website, then complete the booking form with your details. You will receive a confirmation email once your booking has been processed and your deposit has been received.
A booking is considered a binding agreement between you and Epic Park Escapes Ltd once you have received written confirmation (via email) and your deposit payment has been successfully processed. Please ensure all personal details provided at the time of booking are accurate.
2. Payment Terms
A non-refundable deposit is required at the time of booking to secure your place. The deposit amount is displayed on each tour listing and may vary between tours.
The remaining balance can be paid in instalments via Klarna, or in full at any time before the balance due date. All payments are processed securely through Stripe. The full balance must be received no later than 8 weeks before the departure date. Failure to pay the balance by the due date may result in cancellation of your booking and forfeiture of your deposit.
3. Cancellation Policy
If you need to cancel your booking, please notify us in writing (email) as soon as possible. Cancellation charges are calculated from the date we receive your written notice.
Cancellations made more than 8 weeks before departure: deposit forfeited, any balance paid will be refunded. Cancellations made 4–8 weeks before departure: 50% of the total tour cost is retained. Cancellations made less than 4 weeks before departure: no refund will be issued.
In the event of force majeure (circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government restrictions, or severe weather), we will offer an alternative departure date or a credit towards a future tour. Refunds in force majeure situations are at our discretion.
4. Changes to Bookings
If you wish to transfer your booking to a different departure date, we will do our best to accommodate this, subject to availability. Date transfers requested more than 8 weeks before departure may be made free of charge. Transfers requested within 8 weeks of departure may incur an administrative fee.
Name changes on bookings may be possible subject to availability and any third-party restrictions (e.g. hotel or ticket name requirements). Please contact us as early as possible to discuss any changes.
5. Travel Insurance
It is a condition of booking that all travellers hold adequate travel insurance for the duration of the tour. Your policy should cover, at minimum: medical expenses, personal liability, cancellation, and any activities included in the tour itinerary.
Epic Park Escapes Ltd does not provide travel insurance and is not liable for any costs incurred due to inadequate or absent cover. We recommend purchasing insurance at the time of booking.
6. Passport & Documentation
All travellers on European tours must hold a valid passport with at least 6 months’ validity remaining from the date of return. It is your responsibility to ensure your travel documents are in order before departure.
We recommend carrying a valid EHIC (European Health Insurance Card) or GHIC (Global Health Insurance Card) for access to state-provided healthcare in EU countries. Epic Park Escapes Ltd is not responsible for any issues arising from invalid or missing documentation.
7. Age Restriction
All Epic Park Escapes tours are strictly 18+ only. By completing a booking, you confirm that you (and anyone you are booking on behalf of) will be at least 18 years of age on the date of departure.
We reserve the right to request proof of age at any point during the booking process or on the day of departure. Anyone found to be under 18 will not be permitted to travel, and no refund will be issued.
8. Behaviour & Conduct
We want everyone to have an amazing time, and that means being respectful to your fellow travellers, our team, and the venues we visit. Antisocial, aggressive, or dangerous behaviour will not be tolerated.
Epic Park Escapes Ltd reserves the right to refuse or remove any participant whose behaviour is deemed unacceptable, without refund. You are responsible for any damage or loss caused by your actions during the tour.
9. Liability
Epic Park Escapes Ltd acts as an organiser and intermediary. We are not liable for any injury, loss, damage, or delay caused by third-party providers (including but not limited to theme park operators, hotels, and transport companies), or by events outside our reasonable control.
Theme parks carry inherent risks. By booking a tour, you acknowledge and accept these risks. We recommend following all safety instructions and ride restrictions at every venue. Epic Park Escapes Ltd is not liable for any incidents occurring on third-party premises.
In the event of adverse weather conditions or park closures beyond our control, we will endeavour to arrange suitable alternatives but cannot guarantee refunds for individual ride or attraction closures.
